The Problem

Most small businesses (restaurants, retail, clinics, salons) manage scheduling via:

Collecting Availability

Employees message a Telegram bot or WhatsApp number with their availability for the upcoming week:

Bot: "Noted. I'll factor that in."

OpenClaw parses these messages, stores availability in a file per employee, and builds a running database.

Building the Schedule

The owner sets business rules once:

  • Minimum staff per shift (e.g., always 2 people)
  • Peak hours coverage requirements
  • Employee certifications/roles (only certified staff can close)
  • Maximum hours per employee per week

OpenClaw then generates a schedule that:

  • Maximizes coverage during business needs
  • Respects employee availability and preferences
  • Flags conflicts or under-staffed shifts for human review

Delivering the Schedule

Every Sunday evening (or Monday morning), OpenClaw sends each employee their upcoming schedule via Telegram or WhatsApp:

Managing Shift Swaps

When an employee needs a swap:

Employee: "Can someone cover my Saturday shift? I have a family thing."
Bot: "I'll ask around. Anyone available Sat 2pm-8pm?"

Bot: "Chris can cover. Schedule updated. Maria, you're confirmed off Saturday."

OpenClaw logs the swap, updates the schedule, and confirms with all parties.

Payroll Integration

A simple CSV export with:

  • Employee name
  • Date
  • Start time
  • End time
  • Total hours

This feeds directly into most payroll systems (or a Google Sheets payroll tracker).

What’s Needed to Set This Up

Limitations

  • OpenClaw doesn’t have native WhatsApp support out of the box — requires WhatsApp Business API setup
  • Complex union rules or multi-state labor law compliance needs human review
  • This is a workflow engine, not a dedicated HR system — fine for 5-20 employees, overkill for 100+

The Real Value
